Privacy Policy

Effective date: 1 October 2026

Barberly is a product of Tecwi Engineering GmbH, a company registered in Meggen, Lucerne, Switzerland.

This policy explains what happens to personal data across the whole platform: this website, the business portal, the mobile apps, and the booking pages we host for barbershops.

Two different roles

Barberly handles two kinds of personal data, and our responsibility is not the same for each.

Your data. When you run a barbershop on Barberly, work in one, or visit this website, we decide how that data is handled. This policy covers it.

Your clients' data. When a shop books appointments, stores phone numbers or keeps visit history, the shop decides what is collected and why. We only act on the shop's instructions. Telling clients how their data is used is the shop's responsibility, not ours.

Every shop on Barberly keeps its data in its own separate database. Client records are never pooled into one shared directory, no shop can see another shop’s clients, and we do not build a cross-shop audience out of them. A barbershop’s client list belongs to that barbershop, not to a network it has been enrolled into.

Because the shop decides what is collected, the shop also answers to the people in that list. Requests to see, correct or delete a client record are handled by the shop, from its own account. We assist where assistance is needed, and we keep the data secure, but we do not reach into a shop’s records on our own initiative.

If you are a client of a barbershop and want your details corrected or removed, contact the shop. If the shop needs help doing it, we will help.

What we collect

As the operator of Barberly, we collect:

  • Account and business data: your name, email, phone, shop name and address, opening hours, services and prices, staff accounts.
  • Usage data: which pages and features are opened, device and browser, approximate location derived from your IP address, and error logs.
  • Support conversations: messages you send us through the in-app chat or by email, and their history.
  • Billing data: your plan, invoices and payment status. Card numbers never reach our systems - the payment provider handles them.
  • Website data: if you accept cookies on barberly.com, analytics and advertising identifiers. Decline, and none of that is loaded.

Cookies and tracking

On our website nothing beyond strictly necessary storage runs until you answer the cookie banner. Analytics and advertising tags load only after you accept.

We use Google Analytics and Google Ads to understand how the website performs, Meta Pixel to measure our own advertising, and Intercom for the support chat.

The business portal keeps a session cookie so that you stay signed in. That one is necessary for the product to work and cannot be switched off.

You can change your mind at any time by clearing the site data for barberly.com in your browser.

Who else sees the data

A small number of companies help us run the product. They act on our instructions and may not use the data for their own purposes.

  • Hetzner - hosting and databases.
  • Stripe and PayPal - processing of subscription payments made to Barberly. Subscriptions can also be settled by bank transfer.
  • Meta - delivery of appointment notifications for shops that use WhatsApp.
  • Intercom - support chat.
  • Google - analytics and advertising measurement on our website.

We do not sell personal data, and we do not hand it over for other companies to advertise with.

Payments

Barberly is not a payment provider and never holds card numbers.

To take payments from its clients, a shop connects an account it already owns at Stripe, Square, SumUp or Revolut. That account stays the shop’s own, under the shop’s own agreement with that provider, and how the provider handles the data is settled between those two. We pass a transaction through when the shop tells us to; we do not open the account, hold the money or set the terms.

Your own subscription to Barberly is a separate matter. Those payments reach us through Stripe or PayPal, or by bank transfer. We see that an invoice was settled, not the card behind it. Stripe therefore appears in two places on this page: once as a provider a shop may connect for its own clients, and once as a company that processes payments made to us.

Where the data is stored

Primarily in Germany, with parts in Switzerland.

Both are covered by European data protection law, and Switzerland is recognised by the European Commission as providing an adequate level of protection.

Some of the providers listed above are based in the United States. Where data reaches them it is covered by the European Commission’s standard contractual clauses or an equivalent safeguard.

How long we keep it

We do not run fixed retention clocks. In practice:

  • If a shop asks us to delete its data, we delete it, usually straight away.
  • If an account is abandoned and holds little, we clear it within a month or two.
  • If an account holds a lot of history, we keep it longer, on the assumption that the owner may come back. It is still deleted on request, at any point.
  • Invoices and payment records are kept for as long as Swiss accounting law requires.

Your rights

Wherever you are, you can ask us what we hold about you, have it corrected, have it deleted, or have it sent to you in a portable file. Write to team@barberly.com and we will answer.

In the EU, the UK and Switzerland you can also object to processing, ask us to restrict it, and complain to a supervisory authority: the FDPIC in Switzerland, or the authority in your own country within the EU and the UK.

In the United States, depending on your state, you may have the right to know what we collect, to have it deleted or corrected, and to opt out of the sale of personal data or of targeted advertising. We do not sell personal data and we do not share it for cross-context behavioural advertising. Exercising any of these rights never costs you anything or changes the service you get.

Security

Traffic is encrypted in transit. Access to production data is limited to the people who need it to operate the service, and that access is logged.

We deliberately keep the number of systems and outside vendors small. Fewer places for data to sit is itself part of how we protect it.

The separation between shops described above is structural, not a setting: there is no single pooled table of client records that a mistake or a breach could expose across businesses.

Children

Barberly is a tool for businesses and is not aimed at children. We do not knowingly collect data from anyone under 16.

If a barbershop books a minor, that record belongs to the shop and falls under the shop’s own obligations.

Changes to this policy

When we change this policy we update the date at the top of the page.

If a change materially affects how we handle your data, we notify account holders by email before it takes effect.
